Deterrent Security Privacy Policy

1. Purpose and Commitment

Deterrent Security (‘Deterrent’, ‘we’, ‘us’, ‘our’) is committed to protecting privacy in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). This Policy explains how we collect, use, store and disclose personal information for our mobile patrol and deterrence services.

2. Scope

This Policy applies to all personal information we handle across our patrol operations, customer portal, website, communications, payment processing and incident reporting.

3. Definitions (Key Terms)

‘Personal information’ has the meaning in the Privacy Act. ‘Sensitive information’ includes, for example, health or biometric data. ‘Operational data’ means GPS logs, patrol timings, and incident materials (photos/video). ‘Customer’ means a person registering or subscribing to our service.

4. Anonymity/Pseudonymity (APP 2)

Where practicable, you may interact with us anonymously or using a pseudonym (e.g., general enquiries). We may need your identity where required to deliver services, verify property access, process payments or respond to incidents.

5. Types of Information We Collect (APP 3)

We may collect: contact details; property and access instructions; payment details (processed by a PCI-DSS compliant payment processor such as Stripe); GPS/location data from patrol vehicles/devices; photographs, video or audio captured during patrols; communications and incident reports; limited device/usage data from our website and portal. We do not intentionally collect sensitive information unless necessary for an incident/claim and permitted by law.

6. How We Collect Information (APP 3 & 5)

Directly from you (registration, email/SMS, portal), automatically via GPS and vehicle cameras for verification and safety, and from third parties (e.g., owners corporation, insurer, or law enforcement) where lawful. At or before collection, we provide notices about the purpose of collection and how to contact us.

7. Purposes for Use and Disclosure (APP 6 & 7)

We use personal information to: provide and manage patrol services; verify attendance and service delivery; notify you of activation and service updates; process payments; investigate incidents and assist law enforcement; comply with licensing and insurance requirements; improve operations (including AI-assisted analytics with human oversight); and send essential service communications. Direct marketing is optional; you can opt out at any time.

8. Direct Marketing & Spam Act 2003

We may send you marketing about our services if you have consented or it is otherwise permitted by law. All marketing emails/SMS include an opt-out link or instruction. You can also opt out by contacting contact@deterrent.net.au.

9. CCTV, Vehicle Cameras & Surveillance (Vic)

We operate CCTV/dash cameras/body-worn cameras for verification, safety and compliance. Recording is limited to lawful observation consistent with the Surveillance Devices Act 1999 (Vic) and our licensing obligations. Recordings may incidentally capture members of the public.

10. GPS Tracking & Location Data

Patrol vehicles and officer devices are GPS-enabled. Location data supports routing, attendance verification, officer safety and incident response. Customers acknowledge and consent to GPS use when registering.

11. AI‑Assisted Processing & Automated Decisions

We may use AI-assisted analytics to classify incidents, optimise routes, or generate draft reports. These tools do not make final decisions that affect you without human review. You may request human review of any automated output.

12. Third‑Party Service Providers (Processors)

We use reputable service providers under written contracts, including cloud hosting, email/SMS platforms, analytics, and payment processors (e.g., Stripe). Providers may only process data on our instructions and must implement appropriate security measures. A current list of provider categories is available on request.

13. Cross‑Border Disclosure (APP 8)

Some providers may store or access data from locations outside Australia (for example, the United States, the EU or Singapore). We take reasonable steps to ensure overseas recipients protect personal information in a manner substantially similar to the APPs, including contractual safeguards and technical controls.

14. Government Identifiers (APP 9)

We do not adopt, use or disclose government‑related identifiers (e.g., Medicare or driver licence numbers) as our own identifiers. Where such identifiers are provided for verification or incident purposes, we handle them in accordance with the APPs.

15. Data Quality & Updates (APP 10)

We take reasonable steps to ensure information is accurate, up‑to‑date and complete. Please notify us if your contact or property details change.

16. Security Safeguards (APP 11)

We implement administrative, physical and technical controls, including role‑based access, multi‑factor authentication for staff accounts, device management, encryption in transit and at rest where appropriate, staff training, and confidentiality agreements for employees and contractors.

17. Data Retention & Secure Deletion

We retain data only for as long as reasonably necessary for operational, legal and insurance purposes, then securely delete or de‑identify it. Our typical retention periods are set out below.

17A. Typical Retention Periods (Guidelines)

• GPS logs and patrol timings: up to 12 months
• Patrol photos/video (non‑incident): up to 6 months
• Incident reports/evidence: 24 months (or longer if legally required)
• Customer communications and account records: up to 24 months after closure
• Payment metadata (via processor): per payment processor policy
Retention may vary for litigation holds, insurance claims or law enforcement requests.

18. Access, Correction & Portability (APP 12 & 13)

You may request access to, or correction of, your personal information by contacting contact@deterrent.net.au. We aim to respond within 30 days. We may provide a machine‑readable export of certain data where reasonable and technically feasible. We may require identity verification before actioning requests.

19. Law Enforcement & Legal Requests

We may disclose information when required by law (e.g., warrant, court order) or to prevent or lessen a serious threat to life, health or safety. Outside emergencies, we require a valid legal request before sharing non‑public information.

20. Cookies, Analytics & Pixels

Our website uses cookies and similar technologies (e.g., analytics, performance and advertising pixels) to improve functionality and measure engagement. You can manage cookies via your browser settings. Where required, we display a cookie notice linking to this Policy.

21. Third‑Party Websites

Our website or communications may contain links to third‑party sites. Those sites are not governed by this Policy; we recommend reviewing their privacy notices.

22. Children & Vulnerable Persons

Our services are not directed to persons under 18. Patrol recordings may incidentally capture minors in public places; such material is handled with heightened care and restricted access.

23. Notifiable Data Breaches (OAIC)

If we become aware of a data breach likely to result in serious harm, we will assess and, where required, notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.

24. Complaints

If you have a privacy concern, contact us at contact@deterrent.net.au. We will acknowledge your request within 7 business days and aim to resolve within 30 days. If you are not satisfied with our response, you may contact the OAIC at www.oaic.gov.au or 1300 363 992.

25. Changes to this Policy

We may update this Policy from time to time. The latest version will be published at www.deterrent.net.au/privacy with the effective date shown.

26. Privacy Officer Contact

Deterrent’s appointed Privacy Officer is responsible for monitoring compliance with this Policy and responding to privacy enquiries.
